Position SummaryrnrnThe Procurement Specialist is responsible for the timely procurement of products and equipment in accordance with the current policies and procedures of EMHS and is assigned, along with contracting, informatics and value analysis team members, to work teams related to specific areas of concentration. Responsible for providing end user training and assisting Lead Procurement Specialist in the development and maintaining of ongoing training modules in i-Care related to requisitioning, as well as ongoing maintenance of the Mode of Requisition/Mode of Purchase. Procurement Specialist is also responsible for providing support to the Transaction Technicians when necessary.rnrnII. Essential Functionsrnrn1. Place orders to vendors for requested supplies and equipment. Expedite orders to ensure timely delivery of materials and supplies.rnrn2. Provides customer service to and feedback to hospital personnel for backorder items.rnrn3. Researches product information for pricing for inventory and non-inventory items including availability on GPO, coalition, and local contractsrnrn4. Actively work with AP to resolve price discrepancies where appropriate; assist with Buyer 1 discrepancies when neededrnrn5. Responsible to meet or exceed established Key Performance Indicatorsrnrn6. Responsible for working/resolving the invoiced not received reportrnrn7. Help support Purchasing's customer service by proactively working with end users in need of assistancernrn8. Monitors special orders to ensure the product is not available in the item master and ensures that items ordered as a special on a regular basis are vetted by Contracting/TEAM prior to creating a Lawson item numberrnrn9. Initiates creation of Lawson number once approved by Contracting and/or TEAMrnrn10. Reviews the open PO report ensuring the timely and accurate placement of purchase ordersrnrn11. Identifies ways to improve work processes and enhance customer satisfaction. Makes recommendation to the Gen Med Purchasing Leader in support of the overall goals and mission of Supply Chain Managementrnrn12. Utilizes GHX to proactively work all exceptionsrnrn13. Monitors vendor confirmations of orders received and takes appropriate actionrnrn14. Assist in supporting the CQVA processrnrn15. Analyzes the match exception report to determine problem invoices, and works with Contracting and Informatics to ensure pricing integrity and Item Master updates are accomplished timelyrnrn16. Support /guide Transaction Specialistsrnrn17. Works on assigned work team associated with system initiatives and will be responsible for negotiating small initiatives when necessaryrnrn18. Encourages and steers requisitioners to buy as many items as possible on contracts.rnrn19. May perform other duties as assigned or requestedrnrnIII. AccountabilityrnrnThe Procurement Specialist will report to the Director of Purchasing/Warehousing/LogisticsrnrnIV. Minimal Qualifications and Competenciesrnrn1.Associate's degree and three (3) years ofpurchasing experience in a hospital, medical supply or related settingrequired OR high school diploma/GED and at least seven (7) years of purchasing experience in a hospital, medical supply or related setting required.rnrn2. Proven experience related to contract negotiation and understanding of terms and conditions related to contracts required.rnrn3. Must have significant knowledge around the majority of products used frequently on general nursing floors, ER, OR, Pharmacy and Respiratory Therapy.rnrn4. Must have strong understanding of both Rx and Med/Surg distributors and the way they support hospitals.rnrn5. Adept with Microsoft Word, Excel and PowerPointrnrn6. Excellent customer service skills.rnrn7.
