Hear from our employees on why they chose a career at Williams: ****The procurement coordinator is responsible for many transactional aspects of the procurement processes for the purchase of operation’s expense materials and operation’s expense services, system receiving, and various invoice management responsibilities. Support system recording of various procure-to-pay transactions including materials and services requisition creation and receiving. Work with operations personnel in support of other operation’s procurement activities as needed.
Summary of Responsibilities / Duties
Provide support of the operation’s materials and services procurement processes, particularly buying and receiving. Responsible for identifying and entering correct item numbers, category codes, and/or pre-negotiated pricing as part of accurate ERP system requisitions for operation’s materials and operation’s services to meet internal stakeholder requests/requirements. Ensuring that all aspects of the requisition are correct and meet the requirements of the Procurement Policy before sending into an approval workflow.
Assist operations to make sure correct materials are purchased
Process inventory reorder transactions
Track purchase orders and submit monthly accruals
Strategically work with Inventory Coordinator to maintain proper stock levels
Work with other Procurement coordinators across the Ohio River Supply Hub and the Northeast Operating Area to process orders in a timely manner
Strategically source materials and services for operations based on company procurement policy
Create Oracle and Maximo purchase orders for purchase of materials or services for the Ohio River Supply Hub operations’ teams.
Execute material receipt transactions in Maximo
Enter system receipts following review of 3-way match (material description, supplier packing list and purchase order quantities are in agreement). Notifies vendor of any discrepancies. Work with Accounts Payable, Project Teams, and Suppliers/Vendors to reconcile matching failures and invoicing discrepancies.
Provide Invoice Payment support including working with suppliers and/or internal stakeholders to reconcile invoice match failures and resolution.
Identify process and system anomalies and facilitate corrective action for continuous improvement.
EDUCATION / EXPERIENCE
Associates degree in Business, Supply Chain Management, or other related field
2-4 years of Strategic Sourcing
2-4 years’ experience with knowledge of ERP systems and transactions
Knowledge of materials management
Knowledge of MS Office applications
Able to effectively manage time and prioritize tasks in order to meet established deadlines
Ability to work and communicate effectively with all levels of co-workers, clients, and other external contacts
Strong customer focus
Strong interpersonal and organizational skills
Bachelor’s degree in Business, Supply Chain Management, or other related field
Maximo system experience
Oracle ERP system experience in an Energy related field
