Job Summary ***This position is field based - West Coast region*** As the Manager, Field Operations, you will provide support in managing the administration of all full-service operations, brand and third party relationships or a (field) geographic area to maximize hotel utilization of Supply Management's broad range of products and services. You will interact with internal operating disciplines, brand management leaders, hotel owners, outside hotel management groups and the supplier community. In this role, you will also participate in cross-functional teams within Supply Management that are designed to develop and implement new products and services for customer and stakeholders, as well as support all full-service hotel program and property transitions and development of GPO related business. What will I be doing? As the Manager, Field Operations, you will foster close working relationships with key Field, Brand Operations, GPO management, and internal operating disciplines. You will facilitate the sharing of best practices of supply chain management to help ensure successful leveraging and product development. You will also provide and lead communication between internal and external customers, suppliers and the Supply Management team, as well as facilitate early supply management involvement in all key operations, brand initiatives and property transitions. As a Team Member in this role, you will be responsible for:\u00a0 Planning Activities Researching and qualifying products and suppliers for strategic partnerships to fulfill department initiatives; communicate findings and conclusions to upper management Managing the objectives of the department in regards to product rationalization, compliance with brand standards and continuity of supply Developing Statements of Work or Scopes of Work (SOW), Requests for Information (RFI) and Requests for Proposal (RFP) through a sealed bid process Working with primary stakeholders and Legal to develop contracts on any exceptions to the standard contract language Analyzing all bids using a weighted-average, document the cost effect analysis, and award the bids accordingly Communicating the announcement of the successful bid and send confirmation letters to the companies that were not selected Incorporating the supplier contract information into a cross-referenced database Managing and negotiating supplier contracts and maintain contract files Anticipating the need to develop new programs or refresh existing programs to keep current with industry trends Organizing Activities Establishing priorities and delegate work to Team Members accordingly, while ensuring optimal allocation of resources Coordinating with the key stakeholders, as well as internal and external resources so that objectives are accomplished Disseminating, organizing, and communicating regarding assignments and projects within the strategic sourcing department and\/or project department Evaluating and streamlining business processes to maximize efficiency and effectiveness within the department Managing the cross-functional link regarding their product lines between the Project Department and Strategic Sourcing Working with suppliers, manufacturers, and cross-functional teams to conduct product reviews and product rationalization Preparing cost effect analyses Adhering to the measurements established for each department to ensure goals are met or exceeded Engaging all available resources to effectively manage conflict resolution and handle disputes in a timely manner Supporting accounts receivable and payable in the resolution of invoice disputes between hotels, HSM and suppliers Directing Activities Implementing and managing departmental processes and procedures to ensure the strategies and directives of department are carried out and in accordance with department and company objectives Providing direction to the departmental Team Members in the performance of their duties, establishing work priorities and achieving management objectives Ensuring that each direct report has a clear understanding of what the departments goals and objectives are and what steps are necessary to achieve them Communicating important and necessary information to Team Members via emails, internal bulletins, distribution reports, face to face meetings, and phone calls Influencing direct reports to accomplish the organization's mission, goals and objectives through motivation, communication, attitude, group dynamics and leadership Managing third party relationships; identify primary and secondary suppliers, negotiate and monitor the quality and cost of services Leveraging effective partnerships with suppliers, internal and external customers, other departments Working in tandem with supervisor to monitor departments progress and advise them on key issues to help with the decision making process Staffing Activities Providing direction, training, and leadership to Team Members within the Buyer functions Collaborating with HR on the recruiting, selecting, hiring, training, and developing of Team Members Working with direct reports to help set goals to assist in accomplishing department initiatives Documenting and reviewing direct report progress and report findings to upper management and\/or HR Controlling Activities Overseeing proper controls to ensure that brand standards are followed in the execution of RFQ's Overseeing and evaluating bid packages executed by direct reports to ensure compliance with established departmental protocol Ensuring supplier agreements are up to date and files are maintained according to departmental guidelines Ensuring established performance standards for buyers are met Assessing actual performance against standards to determine whether the Buyers are on target to reach goals and take corrective actions as necessary Ensuring the business plan is being followed and goals are being achieved and provide feedback accordingly Enforcing policies and procedures that will improve the overall operation and effectiveness of the department and Company Operating within established budgetary parameters What are we looking for? To fulfill this role successfully, you must possess the following minimum qualifications and experience: Minimum Education: BA\/BS Bachelor's Degree Minimum Years of Experience: Three (3) years of experience in Procurement, Hospitality, Project Supply Management, Design or related field Additional Requirements (i.e. % of travel time, etc.):Strong project management skills, including the ability to manage details through to completion and ensure project deadlines are met\u00a0Knowledge of business mathematics; ability to effectively analyze financial and statistical data\u00a0Possess a working knowledge of Microsoft Excel, including the ability to understand and manipulate basic spreadsheets\u00a0Understanding of the principles and practical application of supply chain management\u00a0Exposure to procurement related or analytics software, such as Ariba, BirchStreet, Tableau, or similar It would be advantageous in this position for you to demonstrate the following capabilities and distinctions: Education: MA\/MS Master's Degree Minimum Years of Experience: Five (5) years of supply chain management and contract negotiations experience Minimum Years of Management Experience: One (1) year Hospitality industry experience CPM or CPSM certification What will it be like to work for Hilton?
